1. What is the Lock Out Item Check Out Process?
The Lock Out Item Check Out Process is the standardized housing process for logging issued courtesy keys to residents using Mercury.
2. What is different from this new process to the HI process for logging issued courtesy keys utilizing the courtesy key log via teams?
The main difference between the [1]Lock Out Item Check Out Process and [2]HI Courtesy Key Log Process is that process [1] is directly linked to the resident housing portal. Which signifies that any updates inputted to Mercury regarding a particular student's residence (i.e. courtesy key log issued) will result in the student receiving an email with information regarding the check out of the item. Additionally, the student's housing portal will be updated to include the status of the item issued to the resident and steps for returning the item.
Example: A student resident comes to the desk and requests a courtesy key for their bedroom they are locked out of. Before issuing the resident the hard key, you utilize the Lock Out Item Check Out Process to log the key exchange to the resident. The resident's housing portal will reflect the issued key update, along with additional information for when to return the key, cost of potential key charge etc.
Our current process [2] does not involve the student's housing portal. Our process simply records courtesy keys issued for our office operations.
3. What does this mean?
This means we are adopting and replacing the entire process for logging courtesy keys.
4. Why are we adopting this new process for logging issued courtesy keys?
We are adopting this process in order to operate in conjunction to RRSS housing's process for logging issued keys.
5. When will this process be implemented?
This process will be implemented beginning 3/3/25.
