Notes:
3. Mail Audit
Conduct the monthly mail audit.
1. Go through each mailbox to ensure that the mail in each respective mail slot corresponds to the residents residing in that particular suite.
> If a resident belongs to a different suite, simply relocate the mail to the new mailbox.
> If a resident no longer appears on SCL, this means that they (A. Graduated) or (B. Moved colleges). It is important to check the resident's status, by checking SCL and and Mercury.
>> If the student resident can not be found on either software systems, please return the mail to sender.
2. For mailboxes with substantial mail for a particular resident, please reach out to that resident to notify them to pick up their mail at their earliest convenience.
* Acquire resident's emails via Mercury: https://pavo.ucsd.edu/
4. Key Project
The purpose of this project is to ensure that the office key inventory is up to date as counts should reflect and encompass keys issued to residents and keys in HI inventory.
Compare several columns in the Eighth college inventory.
Context -
"Total Needed" Column = Number of keys the office was originally issued at the beginning of the school year.
"Inventory" Column = Number of keys the office currently has in possession.
"Used" Column = Number of keys the office has issued student residents. Number of keys in resident possession.
Perform -
1. Compare the "Used" column with the "Space Type" column. The space type column reflects the different types of bed spaces i.e. single, double and triple. If a room is designated a "triple" type bed space, we should theoretically have 3 keys issued via the "Used" column. Meaning each resident in the space should have 1 key each. In this scenario, if the "Total Needed" column reflects 4 keys, then there should be 1 key in the "Inventory" column.
2. If you locate any discrepancies, list down the bed space on a list and submit the list below. Submit the digital list below and record a physical copy of the list and leave on Julio's desk.
3. Additionally if you locate any discrepancies, it is important to check the bed space in Mercury. There is a possibility that there is no one living in the bed space which could result in such discrepancies. Though you should only check Mercury if the arithmetic is inconsistent between columns.
